Project Brief

DigiFist, a digital marketing agency based in Belgium with a distributed team across Europe, approached us to optimise workforce management and streamline client delivery. They wanted to centralise operations on a single platform for greater efficiency and oversight. One key challenge was that employees were paid in multiple currencies, making it difficult for management to understand total staffing costs. We implemented a solution to convert all payments into Euros, providing a clear view of overall employee expenses.

To improve client delivery, DigiFist required consistent client folders. We developed a standardised folder template, ensuring uniformity across all client accounts and enhancing collaboration. Through weekly refinement sessions, we achieved a streamlined, efficient workflow, providing the client with improved operational visibility and greater financial clarity.

Management:

The management space included a central team folder where employee salaries and additional expenses were recorded and calculated. We implemented a streamlined solution to efficiently track salaries and other employee-related costs, providing management with clear visibility and accurate financial oversight.

 

The agency also needed a system to manage employee reimbursements. We created a dashboard that consolidated salaries, overtime, and reimbursed expenses, giving management a comprehensive view of total costs per employee.

Client Delivery:

DigiFist required a standardised folder template for each client to ensure consistency and streamline project management. We developed a folder structure with a dedicated list for each service they offer. Each list included pre-defined tasks commonly associated with that service, creating a clear and repeatable workflow. This approach eliminated the need for manually inputting tasks for every client, providing a simple, efficient blueprint that the team could easily follow. By standardising client folders in this way, DigiFist improved organisation, reduced setup time, and ensured consistent delivery across all client projects.
