Project Brief

Lento is a digital marketing agency with a fully remote, globally distributed team. With team members operating across multiple time zones, their model ensures that someone is always online to manage client work and communication. To support this 24/7 operation, Lento engaged us to help design and implement a collaborative digital workspace that would enable seamless project coordination, real-time updates, and transparent communication—regardless of location or working hours.

Given the nature of their remote structure, it was crucial for Lento to have systems in place that ensured all team members stayed aligned and informed, even while others were offline. We worked closely with their leadership team to build a ClickUp environment tailored to their unique workflows, ensuring that every project remains visible and accessible across time zones.

As a fast-growing agency, goal setting and alignment were also key priorities. We helped Lento implement structured systems for setting, tracking, and reviewing short-, medium-, and long-term goals—ensuring the entire team remains focused and accountable.

Through ongoing weekly collaboration, we’ve delivered a range of customised updates to optimise their processes, improve team efficiency, and enhance cross-functional collaboration within ClickUp.

EOS

Lento approached us with a challenge — their team had become disengaged and lacked alignment around their business goals. To address this, we implemented the Entrepreneurial Operating System (EOS) framework, designed to create structure, accountability, and focus across their organisation. This included clearly defining short-, medium-, and long-term objectives, supported by tailored meeting templates featuring key discussion points. These tools empowered the team to set measurable goals, track progress consistently, and ensure ongoing alignment through structured follow-up meetings.

Finance

Lento sought a solution to efficiently manage employee salary records and track staff invoices related to work expenses. To meet this need, we developed two dedicated lists — one for salary tracking and another for expense management. We also implemented a user-friendly form submission process, allowing employees to easily upload and record their expenses in a structured and accessible way.

Client Delivery:

Lento identified a need for a consistent and repeatable structure when onboarding new clients. Previously, the team was creating separate lists and folders for each client, resulting in inconsistencies across their workspace. To address this, we developed a standardised folder template that could be easily duplicated for new clients. Each service was organised into its own dedicated list, complete with tailored views and custom fields. This solution established uniformity, improved organisation, and streamlined operations across the client delivery space.

Sales & Marketing:

Lento required a dedicated Sales and Marketing workspace to improve collaboration and streamline their content planning. Misaligned internal deadlines had been causing stress and inefficiency across the team. We created structured content collaboration lists to enhance visibility and coordination, ensuring all members stayed aligned on upcoming tasks. Additionally, we developed a sales folder and dashboard to give management clear oversight of sales performance. This dashboard enabled easy comparison of current and past periods, providing valuable insights to support data-driven decision-making and improved efficiency across both sales and marketing operations.

HR:

Lento needed a dedicated space to streamline onboarding for their fully remote team. We created custom onboarding views with structured tasks and activities to guide new hires through the process efficiently. Once onboarded, employees were added to a central database, where they could record weekly capacity, availability, and other key information valuable to management. Additionally, we developed a roles and responsibilities list to ensure all team members clearly understand expectations. This solution improved clarity, accountability, and workforce visibility, enabling smoother onboarding and more effective management of remote staff across the organisation.
